Information about the application Process

Hanseatic Connect uses posts in social media (Facebook, LinkedIn and Instagram) to inform about the organisation and current job offers of its customers. Clicking on the posts may activate a web form, where interested persons can leave their name, email address and phone number. The posts may also contain preselection questions about work experience, willingness to immigrate to the country of employment and/or to learn the local language. Where users react to these posts and communicate interest in a job at a customer of Hanseatic Connect or fill in the web form, Hanseatic Connect Romania will add the user to a lead table which is used by Hanseatic Connect Germany to coordinate the lead funnel and to assign the user to a recruitment team of a regional Hanseatic Connect office. The user will be contacted by the assigned recruitment team to receive their CVs and in order to evaluate the user’s suitability for the vacancy. Where applicable, the preselection question input is used for allocating the correct recruitment team. The profile of suitable applicants is then transferred to Hanseatic Connect Romania, Hanseatic Connect Hamburg, Hanseatic Connect Mumbai or Hanseatic Connect Mexico in order to conduct a pre-interview. Successful applicants will be forwarded to the customer for the final job interview together with their CVs.

Processing the applicant’s data generally bases upon the data subject’s consent which is obtained upon contacting us. Where local law so requires, a recruitment contract is entered into when the recruitment team contacts the user. In these cases, processing bases upon Art. 6 sec. 1 lit b GDPR, since the processing is necessary for fulfilling the contract entered into with the data subject.

In case the interview is successful, the applicant will be offered an employment contract with the employer and a service agreement with Hanseatic Connect. The applicant’s personal data will then be handed over to the service agreement process (see below).

Where the interview is not successful, Hanseatic Connect will, on the basis of the consent granted by the applicant, evaluate whether the applicant matches other client’s requirements. As soon as this is the case, the applicant will be notified for another job interview.

The applicant’s personal data will be used as described until the applicant informs Hanseatic Connect that he or she no longer wishes to make use of the services offered by Hanseatic Connect. In this case the applicant’s data will be deleted.

Service Agreement Process

Once the applicant has been approved by the client in the client job interview (thereafter „candidate“), we obtain additional documentation regarding the applicant such as education certificates, work references, job ID (if applicable). A service agreement is entered into between the local Hanseatic Connect entity and the applicant in order to support the candidate in acquiring additional skills or permits as required and for meeting all requirements to travel to the country of employment. The service agreement also aims at supporting the candidate in being capable to fulfill its role as employee. Among others, it is Hanseatic Connect’s responsibility under the service agreement to arrange for the travel to the country of employment, to forward the required documentation provided by the candidate to the relevant authorities and/or health insurance (both in the home country and in the country of employment) or third parties involved in the process such as training centers/exam centers. Hanseatic Connect serves as the first point of contact for the applicant for all inquiries related to the candidate’s training, employment and living in the country of employment.

Where Hanseatic Connect has entered into a contract for the provision of follow-up services with the client that employs the candidate, the personal data will be used for the provision of such follow-up services for the benefit of the candidate even after the candidate has arrived at the country of employment. In all other cases, the scope of service under the service agreement ends with the candidate’s entry into the country of employment and the personal data collected under the service agreement will be deleted two months thereafter.

Processing the candidate’s personal data for the purposes named above is necessary for fulfilling the service agreement and therefore bases on Art. 6 sec. 1 lit. b GDPR.

Follow-Up Services

With many clients, Hanseatic Connect has agreed to provide follow-up services for the benefit of the candidates even after they have arrived at the place of employment. Where this is the case, the candidate’s data processed within the service agreement process is used for supporting the candidate in the country of employment in everyday challenges for the term of the service agreement.

Processing the candidate’s data for the provision of follow-up services is necessary for fulfilling the service agreement entered into with the candidate and therefore bases upon Art. 6 sec. 1 lit. b GDPR.

Upon expiry of the follow-up services, the personal data may be stored by Hanseatic Connect for potential future services if the data subject has provided consent. Otherwise, the data collected under the service agreement will be deleted two months after expiry of the follow-up services.

Data Subject Rights

You have the right to request information about the processing activities we conduct relating to your personal data as well as to access the information collected about you. Additionally, you may request rectification, restriction of processing, data portability and/or erasure of your personal data. As far as you exercise your right to request erasure, restriction of processing or rectification, you may also request all recipients of your personal data to be informed accordingly.

Furthermore you may lodge a complaint with a supervisory authority concerning our data processing activities and may object to our usage of your personal data.

While using our services, you are not subject to any exclusively automatic decision-making process – including profiling – that takes legal effect or affects you significantly in any similar manner.
